3. All the personal information supplied to Rift Valley Discovery Safaris at the time of the booking and confirmation is to the best of the client’s knowledge correct. Any changes occurring prior to the start of a tour/safari shall be communicated as soon as possible. It is Rift Valley Safari’s responsibility to keep such information confidential but might only be disclosed to third parties if only it is required for the successful carrying out of a tour/safaris. Third parties may include our partners such as hotels/lodges and national parks.
4. Any form of special requirements shall be communicated at the time of the booking and Rift Valley Discovery Safaris shall endeavour to meet them where possible.
5. Elements in “What is included in our tours/safaris” are subject to availability. This shall be specified in writing at the time of confirmation and before any payment is made.
6.Any amendments after confirmation of a tour/safari shall be subject to the verification of the practicability of such changes. Rift Valley Discovery Safaris shall duly communicate any fees arising from such changes. Should the amendments be initiated by Rift Valley Discovery Safaris, written communication will be sent to the client and any resultant factors shall be agreed upon between Rift Valley Discovery Safaris and the client.
7.Prices quoted by Rift Valley Discovery Safaris are bound by the commitment on the part of Rift Valley Discovery Safaris to provide all the elements in “What is included in our tours/safaris” and detailed in the final personalised itineraries.
8.Accommodation provided during a tour/safari is based on two adults sharing a double room. Rift Valley Discovery Safaris is committed to offering the best accommodation available on the tour/safari route. Such accommodation is a balance between luxury and budget accommodation; all drawn from our (Rift Valley Discovery Safaris) best knowledge of the different routes. In case a client specifies any preferences, such as single accommodation, this shall be taken into consideration and it shall be reflected in the final tailor-made plan and pricing.
9.In the unlikely event where there are dramatic financial changes between the confirmation of a tour/safari and the departure date, Rift Valley Discovery Safaris shall communicate such changes to the client and a settlement shall be reached between both parties.
10.Rift Valley Discovery Safaris does not guarantee specific game viewing, as some types are not territory-specific. The advertised types are based on existing data and Rift Valley Discovery Safaris can only state that such game is bound to be viewed.
11.Rift Valley Discovery Safaris reserves the right to alter planned routes in unforeseen circumstances. The resultant changes shall be deemed to be the best option in as far as keeping as close as possible to the originally agreed route and not negligently compromising the safety and later plans of all parties on an itinerary.
12.Rift Valley Discovery Safaris staff accompanying a tour/safari (driver and/or guide) shall be in constant communication with the client and any changes made shall be promptly communicated and explained.
13.Rift Valley Discovery Safaris shall provide the best and safest forms of transport. Every effort shall be made to ensure roadworthiness of vehicles. However, no liability shall be accepted for punctures, breakdowns, accidents or adverse road/weather conditions.
14.Rift Valley Discovery Safaris may outsource all or part of the services from Rift Valley Discovery Safaris’ partners as long as the new partner abides by the original plan. In any case, Rift Valley Discovery Safaris shall hold the responsibility of the outcome.
15.Rift Valley Discovery Safaris may exclude a member/members of a tour/safari in as long as such a member/members are deemed to be a likely source of danger/hazard to the whole party and to the environment. In such a case, Rift Valley Discovery Safaris shall not be bound to make any refund to the affected individual/s.
16.Rift Valley Discovery Safaris shall confirm bookings only when the client has made the agreed deposit/full payment by the agreed means (transfers, cheques and/or cash). The costs arising from such transfers and/or credit card payments are a responsibility of the client. Full payment must be made prior to departure.
17.Cancellation must be made in writing by the party initiating them and shall be effective on the date of receipt.
18.The following cancellation fees/refunds shall apply:
• 60 days or more prior to arrival full refund
• 30 – 60 days prior to arrival 25% charge
• 10 – 30 days prior to arrival 50% charge
• 4 – 10 days prior to arrival 75% charge
• 1 – 4 days prior to arrival 100% charge
Rift Valley Discovery Safaris reserve the right to deduct refund changes to cover bank transfers. As gorilla permits are acquired well in advance, monies paid to cover permits are 100% non-refundable.
19.There shall be no refunds for late arrivals or no-shows of any of the members of the tour.
20.Complaints must be reported promptly to Rift Valley Discovery Safaris, in any case, not later than ten (10) after the occurrence or after the completion of the tour.
21.Rift Valley Discovery Safaris shall endeavour to settle complaints directly a responsibility of Rift Valley Discovery Safaris, their staff or their appointed partners outsourced to provide the agreed services, amicably with the client.
22.Rift Valley Discovery Safaris shall handle complaints emanating from their selected suppliers, such as hotels, as far as possible and shall maintain a transparent tripartite communication in the due course with both the supplier and the client, until a satisfactory settlement is reached.
23.Rift Valley Discovery Safaris shall not be liable to any loss or damage to the property of their clients unless such property has been placed under the care of Rift Valley Discovery Safaris in writing.
24.Rift Valley Discovery Safaris shall not be liable to personal harm or injury of their clients unless a member of staff of Rift Valley Discovery Safaris has voluntarily put the affected client/s in harm’s way.
25.Rift Valley Discovery Safaris shall not be liable to pay refunds for unforeseen circumstances beyond the control of the company or their staff, including flight delays/cancellations or force majeure such as war or threat of war, riots, civil disturbances, terrorist acts, border closure, acts of government or other authorities, strikes, thefts, epidemics, road closures, industrial disputes, natural or man-made disasters, adverse weather conditions and similar events beyond the company’s control.
26.The client shall be responsible for ensuring that they have proper travel and entry requirements to Uganda and other countries on the itineraries. Rift Valley Discovery Safaris can only advise their clients what documents are required.
27.The client shall be responsible for their medical cover/insurance and any other form of insurance (except third party insurance on Rift Valley Discovery Safaris vehicles) while on a tour/safari with Rift Valley Discovery Safaris.
28.All unsettled claims and disputes are subject to the jurisdiction of the courts law of the country covered by the itinerary in which the cause of action takes place.
